HISTORY

DHL is one of the largest logistics Company which provides courier services all over the world. DHL stands for Dalsey, Hillblom and Lynn and it express the names of its founders who was Adrian Dalsey, Larry Hillblom and Robert Lynn. DHL was established 50 years ago (in 1969) in San Francisco, California in United States. In 2004, joint venture was formed between DHL and NZ post. There are number of factors behind this joint venture including DHL’s strong network in China, Japan and India which all are important for the NZ market but this venture was ended up in 2012. The company is now an international parcel, courier and express mail division of the German Logistics Company Deutsche post DHL. It was at first primarily interested in intercontinental and offshore deliveries. At present, the company provides a delivery of over 1.3 billion parcels every year. The financial results of the DHL Express are published in the Deutsche Post AG annual report. The revenue of this division increased by 2.7% to €14 billion in the year 2016.  By 2015, the earnings before taxes and interest increased to €1.5 billion which was an increase of 11.3% (DHL, 2019).

SPECIFIC PROJECT

DHL is developing a new concept for city hub. This concept will enable the increase in the use of cargo bicycles for the deliveries within the city. It has already launched two pilots for the concept of city hub – one in the fifth largest city of Germany which is in Frankfurt and the other in Utrecht in Netherlands. The company has announced that it will be declared climate – neutral by the year 2030. The city hub can carry up to four containers for the DHL cubi cycle which is a custom-tailored cargo bicycle. This cycle can carry container with a load of 125 kg. The solutions that can be earned by using this bicycle are the reduction of emissions to zero level because of it minimizes the overall mileage. The time taken for road delivery will be reduced to a significant level. Moreover, two delivery vehicles can be replaced by one city hub thus saving emission of CO2 up to sixteen tonnes in a year. Thus this concept of electric bicycle will not only reduce the input of manual labour but will also help in maintaining sustainability thus enhancing the process of ecological balance. Moreover, bicycles give several options of delivery. Firstly it can avoid traffic congestion; the speed delivery will also increase up to two times because it is generated through current and electricity. DHL Express has already introduced these bicycles in 13 countries of Europe that took in more than 80 cities. Moreover, it has launched 14 cubicycles to cover a distance of average 50 kilometres per day in seven cities. The environmental protection programme of Deutsche Post DHL Group aims to minimize the impact of this business on the environment and maintaining sustainability. The main motive is to optimize the carbon efficiency. It has set itself an ambitious goal of climate protection to improve the efficiency of carbon by 30% by the year 2020. As of now, it has been successful to improve the same up to 25% (DHL, 2017).

Pros and cons of accepting the project

1. The pros and cons that the company DHL will face by developing the project is that the time period and installation cost. 

2. The employees can face issues due to the new change process and they can reject from adopting the project as well. 

3. The benefits that the firm will get by developing the project are that the reduction of pollution, fast service, new technology and long run business process.

2. Five phases of project management

2.1 Alignment of the project objectives with the strategic vision 

Alignment of all the processes, people and department is many a time a very challenging task. However, at the same time it is necessary to align things to make sure that all the parts of the organization are working together to generate a certain objective or goal. The company overall has to maintain some simple steps to ensure the alignment of business, focussing on the mission, vision and values, and having a plan for monitoring the progress of the projected plan. The leader of DHL has to take the responsibility of making plans and explain to the employees their course of action. It is necessary to set the three project goals for the successful completion of the project.

 

Identifying what is important – The first step is the identification of the important. Here it signifies what is important or necessary for the project. In this process of innovating electric paddle bike, it is first important to create an efficient and active workforce and recruiting new team members who are efficient in handling the technology used to produce such cubicycle (Archibald, Filippo, & Filippo, 2012). As per the theory of the project management process, it is very important to deal with each and every part of the project very carefully. The sponsors of the project have to be communicated about the necessities of the project. Any project has three main aspects of completing the project by deadline, as per the specifications and the limited available budget.  A company always has the target to shorten the list of expenses. So is the case DHL. So, DHL as a company has to take decisions by applying techniques of making decisions. This way both the leaders and the sponsors will be able to generate new ideologies and methods for the development of the project that will be aligned with the strategic vision of the company.

Critical goals have to be set – Determining the critical features of the project is of utmost importance. The efficient technique of the project goal management is specific, measureable, attainable, realistic and timely. The abbreviated form of this technique is SMART. Having these efficient features allows reaching a limit within a given time frame. The goals that are undertaken have to be short, yet they have to meet the expectations of both the stakeholders and the manager or leader (Shukla, 2016). Targets of management can be many and have difference but the goals should be such that they are short and easily achievable.

The goals have to be shared – The team members have to be very well addressed to achieve the goals. This needs a proper base of communication. Innovating the electric paddle bike by DHL as a way of providing service will be easily achieved if the team workers have a clear concept about the changes that are about to come. Having a clear idea will motivate them to work harder to achieve the objective. Every project is accepted and initiated when there is a chance of long-term success (Tharp, 2007). The workers should be informed of this chance and that will also work as a motivation for them. At the first meeting it will be the duty of the leader to explain the goals. During the process of execution the leader has to perform the job responsibility of control and monitoring. Even there are chances for the workers to provide suggestion and solutions for arising conflicts if they are well versed about the entire project. If the conflicts get mitigated, the process and way of reaching the objective automatically becomes easier.

Developing the plan of action – Project plan is of course necessary, but more necessary is developing the plan of action that has to be followed and executed. Project plan never suggests the course of action that has to be followed during the process of achieving the specific goals that have been mutually decided. Thus developing the plan of action means identification of all the tasks and setting the pace of work. The plan of action not only identifies the tasks that have to be accomplished, but also locates the tasks of high priority (BPAYNE & WATT, 2019). This will also ensure that the handling of high-priority tasks with the most possible care and safety so that they get accomplished at the earliest. Again this also means assigning these tasks to the best available resources.

Keeping track of the project – The leader has to set the priorities by permutation and combination of the efforts. The leader in that case has to focus on the high priority tasks and the fellow team workers will accomplish the other tasks. In case of any risk or conflict the leader has to be capable of taking steps for immediate resolution. Assistants often can help the leader to keep track on all the happening activities. This can be done by the segregation of the work and monitoring the workforce. High priority tasks if accomplished on time will automatically enhance the process of innovation of the cubicycle in a faster and smoother way. If the leader can keep track of the project and take immediate actions in times of necessity the project will automatically be directed towards success (Wakeman, 2015).

Phase 1- Initiation of the project:

The project initiation will mainly help the project manager to conduct a feasibility analysis for determining that the project team has enough resources to start the project. 2.2 Ensuring the financial forecasting of cost if completed across the project timeline

Whenever a company initiates a project it needs to build up an efficient team for its proper execution. As such, DHL has to build up a proper executive team who can work on the project successfully and initiate the production of efficient cubicycle or electric paddle bikes. The cost the company has to incur for a proper building of team estimates to $600. It is not just about the building of an efficient team. Often older workforce needs training to understand a new process because of the lack of knowledge about the latest technology. Second Phase- Project planning

The manager or the leader has the most important responsibility to perform during this phase which include identification of the necessity, work flow maintenance, explanation of the scope of the project, collecting the resources as per necessity and deciding the timeframe for completing the project. 

Project stakeholders- The stakeholders mainly include the suppliers, sponsors, team members and managers. It is also necessary to keep the stakeholders engaged in the discussions of the project and keep them updated about the progress of the same. Project assessment- The explanation of the plan will act as guide for the employees of the company to decide how they will work on the production of the cubicyle (Windsor, 2018). In due course of planning the project the identification of the stakeholders is also necessary. This is because the internal stakeholders will affect the planning process within the organization, and the external stakeholders although would not directly affect the planning process; often indirectly affect the process by their own demands and expectations of the supply.

Quality check program- the quality of the project must be checked so that the high quality of project can be delivered to the clients.

Third phase- Execution phase

Execution of the project is connected with the management of the project. This process involves the production and the delivery of the service or product to the customers. With smooth service or enhanced quality of the product the customer satisfaction will also get enhanced and hence bring in revenues for the company. Thus execution is the phase of creating new things, because all that has been planned before is now put to practicality in this phase. Fourth phase: Monitoring and controlling the project

Here in this phase as well the manager or the leader plays the most important role. The leader plays the role of a bridge connecting the workforce and the stakeholders. These policies are often regarded as an obstruction to the profits of a business and almost always are thought to be a waste of effort and time. This is because many a time the company has to reframe policies depending on the governmental influence (Williams, 2019). 

Fifth phase- Project closing phase

After the team has been able to deliver the service or the product successfully to the customers within the allotted time frame, the project management process reaches its final stage of analyzing and closing it. Before the closure, the stakeholders have to be well informed about the status of success. The overview of the success is passed on to employees, stakeholders and the leaders or managers. The technical skills form the most important aspect of internal compliance because gathering and implementing the latest form of technology is always the most important step of production management and innovation. Innovation always means producing something better that the previous production. Technical skills can only be implemented by human skills that are efficient in handling technology at a faster rate. The management skills are basically of three types’ human or interpersonal skills, technical skills and conceptual skills. These skills are necessary for any production including the production of cubicycle. Conceptual skills will help the company to frame policies and plans for implementing a project. Human or interpersonal skills allow the production due to the efficiency of the workers.
